Outlook Calendar

Important: A calendar connection is required for Groupthink to automatically join your meetings and provide pre-meeting context. Without it, you can still use Private Desktop Recording, but automatic bot join and calendar-based features won't work.

Connecting Microsoft Outlook Calendar

During Initial Setup

  • As you set up Groupthink, navigate to the second step of the setup process.
  • Click on "Connect to Google Calendar" or "Connect to Outlook Calendar" to initiate the connection.

After Initial Setup

  • Go to User Settings > Calendar in Groupthink
  • Click "Add Calendar Connection"
  • Select "Connect to Outlook Calendar" to establish the link

Choosing a Calendar

  • After connecting to your Outlook Calendar account, a dropdown will appear.
  • From this dropdown, select the specific calendar you wish Groupthink to access.
  • This step ensures that Groupthink interacts with relevant events, excluding non-essential calendars like birthdays or holidays.

Choosing How Groupthink Attends Meetings

During setup (and in your calendar settings), you'll choose how Groupthink should handle your meetings. This is an important choice that affects all your future meetings.

Attendance Options

Notes and recaps are shared with all attendees. | | Let Me Choose Each Time | No automatic joining. You manually invite Groupthink to specific meetings when you want notes. |

Changing Your Settings

You can change your attendance preference at any time:

  1. Go to User Settings > Calendar
  2. Find the "How should Groupthink attend your meetings?" section
  3. Select your preferred option
  4. Your choice applies to all future meetings

Additional Customization

You can also fine-tune when Groupthink attends:

  • Only meetings where you are the host/organizer
  • Meetings where you are an attendee
  • Only meetings with a minimum of two attendees (to skip reminders and placeholder events)

Disconnecting Your Calendar

You may disconnect your calendar from Groupthink at any time. This will prevent Groupthink from accessing your calendar events and adding agendas to your meetings.

  1. Log in to your Groupthink account
  2. In the left sidebar, click Orgs
  3. (Optional) If you are shown a list of your organizations, click on Settings for the organization whose calendar you want to disconnect
  4. Under the Calendar Connection heading, click on the red Disconnect Calendar... button and follow the prompts

Disconnecting your calendar will not remove any agendas or delete any past meetings or notes. It will only prevent Groupthink from accessing your calendar in the future.
