Gifted Recaps

A gifted recap is a full meeting recap that Groupthink sends, at no cost, to someone on a meeting who is not a member of the workspace the meeting belongs to. When a Groupthink subscriber is part of a meeting, the people outside that workspace who are emailed its recap get the complete recap as a gift instead of a locked email. The subject line on those emails reads Meeting Recap: {meeting name} (courtesy of a Pro subscriber).

How It Works

1. A Groupthink subscriber is part of a meeting, and Groupthink records it and writes the recap.
2. After the meeting, Groupthink emails the recap to the agenda's Hosts and to anyone who was invited from the agenda's Share window. People who are on the agenda only because they were on the calendar invite don't get the recap automatically, whether or not they use Groupthink. The meeting's Host can send it to all of them at once with Send recap to attendees on the recap page, or to one person with the recap's Share button. 3. Recipients who are not members of the meeting's workspace receive the full recap as a gifted recap, rather than the locked email they would otherwise get. A recap the Host sends with Send recap to attendees or Share is different: it arrives as a normal full recap that says who shared it, under the usual subject line, not as a gift.
4. No setup is needed by the recipients.

What Recipients Receive

A gifted recap email includes the same highlights as a standard recap, in this order:

• A banner at the top saying a Pro subscriber in the meeting made the full recap available
• A short description of the meeting
• A View Full Recap button that opens the recap page, where signing in (passwordless) shows the transcript
• Key Decisions
• Tasks, each with the person it is assigned to, or Unassigned
• Important Notes, the meeting summary
• Suggested openers for next time, when there are some

Near the end, a box with an Upgrade to Pro button offers the recipient their own subscription.

When a Recap Is Gifted

A recap is sent as a gifted recap when all of the following are true:

• The meeting's agenda includes at least one person who has Pro or is on a trial, whether they pay on the web or on iPhone.
• The recipient is not a member of the workspace the meeting belongs to.
• The recipient is on the agenda. For calendar meetings, attendees are added to the agenda automatically.

The gift doesn't depend on the recipient's plan. Anyone in the meeting's workspace already gets the full recap, so only people outside it get the gift.

Benefits for Teams

For subscribers: If you are the Host, Send recap to attendees on the recap page lists everyone on the invite who doesn't have the recap yet, all ticked. Untick anyone who shouldn't get it and click the send button, which counts who is still ticked (Send to 3 people, or Send to 1 person), so there is no need to forward summaries by hand.

For people without a plan: You get the full recap without paying for your own subscription. If you find the recaps useful, you can start your own Groupthink account to record your own meetings.

This is a natural way for Groupthink to spread within a team: one subscriber can give everyone in the meeting the experience of having an AI notetaker, so others can see the value firsthand.

Privacy Considerations

Recaps are emailed automatically only to the agenda's Hosts and the people invited from the agenda's Share window. People who were only on the calendar invite get one when the Host sends it to them. See Who gets the recap email?

Groupthink does not sync calendar attendees onto a private agenda, so attendees are not added to it automatically.

Sending a Recap to One Person Yourself

A gifted recap is automatic. If you instead want to send a recap to a specific email address as a one-off, that is a separate action: open the recap, click Share, pick a contact or type an email address under Add people by name or email…, and click Share.
