Gifted Recaps
A gifted recap is a full meeting recap that Groupthink sends, at no cost, to someone on a meeting who does not have their own active Groupthink plan. When a Groupthink subscriber is part of a meeting, the recap reaches everyone on that meeting's agenda by email, and the people who do not have their own plan get the complete recap as a gift instead of a limited preview. The subject line on those emails reads Meeting Recap: {meeting name} (courtesy of a Pro subscriber).
How It Works
- A Groupthink subscriber (someone on an active trial or a paid plan) is part of a meeting, and Groupthink records it and writes the recap.
- After the meeting, Groupthink emails the recap to everyone on the meeting's agenda. For meetings on your calendar, attendees are added to the agenda automatically, so this is normally everyone who was on the invite. See Sharing a Meeting With Someone Who Doesn't Have an Account.
- Recipients who do not have their own active plan receive the full recap as a gifted recap, rather than the shortened preview a lapsed trial would otherwise see.
- No setup is needed by the recipients. The recap is emailed to the address on the calendar invite.
What Recipients Receive
A gifted recap email includes the same highlights as a standard recap:
- Meeting summary and key highlights
- Decisions made during the meeting
- Action items and next steps, with assignees
- A link to open the full recap page, where signing in (passwordless) shows the transcript

When a Recap Is Gifted
A recap is sent as a gifted recap when all of the following are true:
- The meeting's agenda includes at least one person on an active trial or paid plan.
- The recipient does not have their own active trial or paid plan.
- The recipient is on the agenda. For calendar meetings, attendees are added to the agenda automatically.
People who have their own active plan receive their normal recap, not a gifted one. The gift is the way Groupthink makes sure the people without a plan still get the full meeting value.
Benefits for Teams
For subscribers: Your meeting notes reach everyone in the room automatically, so there is no need to forward summaries by hand.
For people without a plan: You get the full recap without paying for your own subscription. If you find the recaps useful, you can start your own Groupthink account to record your own meetings.
This is a natural way for Groupthink to spread within a team: one subscriber can give everyone in the meeting the experience of having an AI notetaker, so others can see the value firsthand.
Privacy Considerations
Gifted recaps go to the people on the meeting's agenda. For meetings on your calendar, that list comes from the calendar invite, so recaps reach the people who were invited.
Private agendas are an exception. Groupthink does not sync calendar attendees onto a private agenda, so attendees are not added automatically and do not receive the recap.
Sending a Recap to One Person Yourself
A gifted recap is automatic. If you instead want to send a recap to a specific email address as a one-off, that is a separate action: open the recap, find Or send the recap to someone else's email, and click Send. That path is covered in Sharing a Meeting With Someone Who Doesn't Have an Account.
