Note Templates
Note Templates let you reformat any past meeting recap into a structure that fits the meeting type. A sales call needs different sections from a 1:1, which needs different sections from a customer discovery interview. Pick a template, preview the reformatted recap, and keep the original intact.
Built-In Templates
Groupthink ships with seven built-in templates that every workspace can use:
- Default: the standard recap format
- Customer Discovery: framing, key findings, jobs-to-be-done, follow-ups
- 1:1: wins, blockers, priorities, action items
- Standup: status by attendee, blockers, next steps
- Sales Call: discovery, pain points, objections, next steps
- Interview: candidate signals, strengths, concerns, recommendation
- Post-Mortem: timeline, what went well, what did not, action items
Built-in templates are read-only. You cannot edit them, but you can use any of them as a starting point for a custom template.
Apply a Template to a Recap
You can apply a template to any meeting that has ended.
- Open the meeting recap page
- Switch to the Summary tab
- Click Apply Template
- Pick a template from the modal
- Preview the reformatted content inline
Applying a template is non-destructive: it does not overwrite your existing recap notes. The reformatted version is an alternate view of the same underlying transcript.
Create a Custom Template
Workspace custom templates are managed in Organization Settings.
- Open Organization Settings
- Switch to the Templates tab
- Click New template
- Give the template a name
- Add one or more sections. Each section has:
- A title (the section heading in the rendered recap, like "Action Items")
- A prompt (the instruction to the AI, like "List all commitments people made and who owns each one")
- Save the template
The template now appears in the workspace list and is available to everyone in the workspace.
Edit or Delete a Custom Template
From the Templates tab:
- Edit: click into the custom template to update its name or sections
- Delete: click the delete icon on the row
Built-in templates do not have edit or delete options.
Frequently Asked Questions
Does applying a template change my recap permanently? No. The reformatted view is an alternate rendering of the meeting content. Your original recap notes remain untouched.
Can I apply a template before the meeting starts? No. The Apply Template button only appears on meetings that have already ended. The template runs against the transcript and recap content, both of which only exist after the meeting.
Can different workspaces see each other's custom templates? No. Custom templates are scoped to the workspace that created them. Built-in templates are available to every workspace.
How is this different from Recipes? Templates restructure the recap into named sections you define. Recipes apply an open-ended prompt, like "summarize this in one paragraph for an executive." Use templates when you want consistent structure across recaps of the same meeting type; use recipes for one-off reformats.
