Projects on iPhone

Make projects, file meetings and captures to them, and put people on them from your phone.

On this page

A project keeps the meetings, notes and people for one engagement together: a client, a deal, a search. On iPhone you can open your projects, make new ones, change them, and file things into them. For how projects work on the web, see Projects.

Projects need a Groupthink sign-in. See Sync and signing in.

Finding your projects

There are two ways in:

  • From Today. Your projects have their own section on the Today tab. Up to five show, each with its name, its type and how many meetings are in it. Tap All by the heading, or more under the list, to see every project. See Projects on Today.
  • From the People tab. Tap the folder button at the top left, next to Goals.

The Projects list shows each project's name, its type (Work, Personal, Family or Plan), its purpose, and how many meetings are in it. A purpose Groupthink drafted that you haven't confirmed has (AI-suggested) after it. Pull down to refresh. Tap a project to open its page.

With no projects yet, the list says No projects yet.

Making a project

  1. Open the Projects list and tap + at the top right.
  2. Type a name under Name, for example Acme renewal.
  3. Under Type, pick Work, Personal, Family or Plan. Work is picked to start with.
  4. Tap Create.

The new project's page opens, and it shows on the web too. If it couldn't be made, the form stays open with what you typed and says why.

You can also make a project while you file something: in the project picker, type a name no project has yet and tap Create new project: followed by that name. See Filing a meeting and Filing a capture.

Accepting a suggested project on Today also makes one. See Suggestions on Today.

What a project's page shows

At the top are the project's type and its purpose. Below that:

  • Summary: a short summary of what's filed in the project. A project with nothing filed yet says so.
  • Tasks: the project's tasks and subtasks, and who does each one. Tap Add a task to add one. See Working with tasks below, and Project tasks for how tasks work.
  • People: everyone on the project. Someone who is on it only because they came up in something filed there says From filed content under their name. Someone Claude or another connected agent added says "Added by Claude" (or "Added by an agent" when the agent gave no name). Tap a person to open their page.
  • Meetings: the meetings filed in the project, newest first, with their dates.
  • Notes: the notes filed in the project, newest first, the same ones as on the project's page on the web. Each shows its title, the start of its text, how it happened (a call, in person, a text, or just a note) and its date. Tap a note about someone to open that person's page, where the note is in their history. Tap a note with nobody on it to read all of it. Tap Load more at the bottom for older ones.

Pull down to refresh the page.

Working with tasks

Subtasks sit indented under the task they belong to. Under each task, "Who does it" says who is doing it: you, someone you know, Groupthink, or one of your agents. Tap the circle to mark a task done, and tap it again to open it back up.

Tap Who does it to change it:

  • Me: you do it.
  • Someone else…: pick a person from your contacts. The task then shows their name. Groupthink doesn't send them anything.
  • Hand to ChatGPT, Hand to Claude or Hand to Dots: the task shows "Waiting on ChatGPT" (or Claude, or Dots), and a note under it says what happens next. For ChatGPT, Open ChatGPT opens it with the task filled in. Copy the task copies it to paste anywhere. When the agent is connected to Groupthink, it reports back on the task when it's done, and what it sent back shows under the task. You can only hand off a task that isn't done yet.

To add a task, open the project and tap Add a task at the bottom of Tasks. To add a subtask, swipe left on a task (or press and hold it) and pick Add subtask. Tap a task to change its wording, or to move it under another task with Sits under. Pick Top of the list to move it back out. Tasks you add on your iPhone show on the project's page on the web too.

Changing a project

Open the project and tap the ••• button at the top right. The menu has:

  • Rename: type a new name and tap Save.
  • Type: pick Work, Personal or Family. The current type has a check mark. A plan shows A plan stays a plan here instead, and its type can't be changed.
  • Edit purpose: change what the project is for, then tap Save. If Groupthink drafted the purpose, the form says so, and you can tap Save without changing anything to confirm it. After that the (AI-suggested) label goes away.
  • Archive or Restore: see the next section.
  • Delete…: see Deleting a project.

If a change doesn't save, the page says so at the top.

Archiving and restoring

Archive a project when it's done. Open it, tap ••• and pick Archive. There's no confirm step. Everything filed in it stays. The project leaves your Projects list and Today, and its page shows Archived next to its type.

To see your archived projects, open the Projects list, tap the ••• button at the top and pick Archived projects. Each one shows the day it was archived. To bring one back, swipe left on it and tap Restore, or open it, tap ••• and pick Restore.

Deleting a project

Open the project, tap ••• and pick Delete…. The app asks you to confirm, naming the project, and says "It will be removed from your projects. To keep what you filed in it, archive it instead." Tap Yes, delete to go ahead, or Cancel to keep it. Once it's deleted, the page closes.

If the project still has notes or other things filed in it, it isn't deleted. The app says why at the top of the page instead, and when the project isn't archived yet, it points you to Archive in the ••• menu.

Filing a meeting

  1. Open the meeting's recap.
  2. Under its title, tap + Add to project.
  3. Pick one of your projects. Or type a name in Search or create a project and, when no project has that name, tap Create new project: followed by it.

The projects a meeting is in show as chips under its title. Tap a chip to see two choices: Open project, or Remove from this meeting to take the meeting out of that project. Only you see your projects; other people in the meeting don't.

Filing a capture

When you stop a recording, the Who is this about? screen has a Project row under the people. So do the Add a note and Ingest a link sheets. See People and "Who is this about?".

  1. Pick who the capture is about first. + Add to project stays greyed out until at least one person is picked.
  2. Tap + Add to project and pick a project, or type a new name and tap Create new project: followed by it.
  3. Tap Save (or Fetch for a link).

The project shows as a chip on the row. To change your mind before you save, tap the chip and pick Don't file in a project. Once it's saved, the capture's page says who it's filed to and the project, for example "Filed to Sam Lee, in Acme renewal".

Putting a person on a project

Under the name at the top of a person's page is a chip for each project they're on, then + Project.

  • See their projects. Each chip is one project, in alphabetical order. A project they're on only because they came up in something filed there has an outlined chip. Tap a chip to open the project. Archived projects aren't shown.
  • Put them on a project. Tap + Project. Put on a project lists your projects they aren't on yet. Search if the list is long, then tap a project. Its chip appears under their name, and they show under People on the project's page.

+ Project is there even for someone who isn't on any project yet. If adding them doesn't work, the reason shows under the chips.
