Lists
Keep a list of people, like your holiday card list, with their current mailing addresses.
On this page
A list is a set of people you keep up to date for one purpose: the people who get a holiday card, wedding invitations, a client gift run. Groupthink shows each person's mailing address, how to address them, and their partner, says whose address is missing or hasn't been confirmed in a year, and gives you the list as a spreadsheet when it is time to print.
These steps cover the web app at app.groupthink.com and the Groupthink desktop app, which show the same screens.
Start a list
Watch: tick who gets a card, name the list, fix a missing address and download the spreadsheet, in 32 seconds.
A list is a tag you add to people. Any tag you added yourself, on a person's page or here, is a list. Tags Groupthink added from your conversations are not.
- Click Relationships in the left sidebar.
- Tick the people you want on the list, using the boxes at the start of each row.
- Click Add to list in the toolbar. The number on the button is how many people are ticked.
- Type a name for the new list, like Holiday cards 2026, or pick a list you already have.
- Click Add. The button shows the count, such as Add 3 people. Groupthink says how many people it added. Click Open the list to see them.
Open a list
- Click Relationships in the left sidebar.
- Click the List menu next to the search box. It shows Everyone and each of your lists, with how many people are on each.
- Pick a list. The table now shows only the people on it.
Each row shows:
- Name
- Mailing address
- Salutation: how to address them on an envelope, like Dr. Wong or Alex & Sam
- Partner
- Address confirmed: the date you last confirmed the address is right, or Never
- Remember our year: opens the person's page with Remember our year open on the current year, to look back before you write their card
Salutation and Partner show the date each was last confirmed under the value, or Never confirmed.
To go back to all your people, pick Everyone from the List menu.
See who needs an address or a check
Above the table, two buttons count the people on the list:
- Missing address is how many have no mailing address, or have one you marked Mail came back on their page.
- Not confirmed in a year is how many have an address that you haven't confirmed in the last 12 months, or never confirmed. An address an import filled in counts as never confirmed until you confirm it. If you ticked Use the file's value to replace an address you already had, it counts as confirmed on the day of the import.
Click either one to show only those people. Click it again to show the whole list.
Fix a detail in the row
- Click the pencil next to the address, salutation or partner.
- Type the new value and click Save.
This is the same detail as the one on the person's page, under Details, so a change in either place shows in both. Clearing the box and saving removes the detail.
When an address has not been confirmed in the last 12 months, or never, a Still right button shows under its date. Click it to mark the address confirmed today without changing it.
An address you marked Mail came back shows Mail came back with the date under it, and an Update address button instead of Still right. Click Update address, type the new address and save it. The mark clears once the address changes. Saving the same address again keeps it.
Add the people you were in touch with this year
Next to the list, In touch this year, not on this list shows people you've been in contact with since January 1 who aren't on it yet. Click Add next to a person to put them on the list.
Take people off a list
- Open the list.
- Tick the people to take off.
- Click Take off list.
They stay in your contacts. Groupthink won't add that tag back to them on its own. A list with nobody left on it no longer shows in the List menu.
Download the list as a spreadsheet
- Open the list.
- Click Download spreadsheet.
You get a CSV file named after the list, with one row per person in A to Z order and these columns: Name, Salutation, Partner, Mailing address, Address last confirmed. It opens in Excel, Numbers and Google Sheets, and print and mail services can read it. An address over several lines stays in one cell.
A list of more than 5,000 people is too big to download at once.
